Freight claims software that keeps every loss traceable
Freight claims management software connects a lost or damaged shipment to the evidence, carrier case, review decisions and money received. Codeblix develops custom workflows for shippers, importers and logistics teams that need these records joined across receiving, claims coordination and finance.
Know what was lost, what was submitted and what was recovered.
For distributors, importers, manufacturers and 3PL teams handling shipment damage or shortages, the difficult part is keeping several versions of the same incident aligned.
Give each affected item one loss identity
Separate missing units from damaged units on the shipment line. Record the inspection, condition, quantity and valuation inputs, then link every carrier or insurance case to those same loss lines. A repeated email or a second party's case should remain connected to the original incident.
Keep the approved evidence reproducible
Join the transport document, invoice, packing list, receiving remarks and damage images using their source references. Let contributors add material while a designated reviewer selects the packet for release. A corrected document creates an identifiable edition rather than changing an already-submitted packet.
Reconcile receipts against the recovery decision
Distinguish the amount requested, an offer, an accepted settlement and a receipt confirmed by finance. Allocate receipts to the affected loss lines and flag overlapping recovery sources. Closure needs an explanation for both recovered and unresolved amounts.
Capture the damage. Preserve the handoff.
A useful claim starts with the delivery record and follows the same shipment through evidence review and financial reconciliation.
Choose around your actual claims operation
A dedicated freight claims product may suit a team whose document intake, shipment identifiers and party workflows match the platform. A managed claims service adds case-handling responsibilities; establish who contacts counterparties and authorizes settlement. Custom development is useful when your receiving records, entity permissions or finance allocation rules require a tailored workspace. Compare all routes with the same evidence packet and difficult loss lines.
Use a double-counted loss as the decisive demo
Bring a shipment where the same item appears as both missing and damaged, an attachment changes after submission, and two counterparties offer recovery. Ask the provider to identify the conflict, reproduce the approved packet and trace each confirmed receipt to the original loss. A dashboard total alone does not show whether the case can be explained.
Keep invoice disputes with their own owner
Loss and damage claims start with affected goods. Freight audit starts with carrier charges and the governing rate agreement. Connect their shipment reference where useful, while retaining separate approval rules, evidence and balances for cargo recovery and invoice corrections.
Compare freight invoice audit requirementsStart a Mauritius project with the shipment route
Importers and exporters operating through Mauritius should identify their actual forwarder, carrier, transport mode and claims contact before choosing the submission design. Maersk's Mauritius information provides local operating contacts; its cargo-insurance page gives one example of the documentary evidence a claim route may request. Use the procedure that applies to your own shipment.
Read Maersk's Mauritius operating informationSix stages from delivery exception to reconciled case
Use this path to compare claims software or map a custom project. Identify the source, responsible person and exception route at each stage.
Record the delivery exception at its source
Capture the shipment, delivery location, receiving time, transport references and receiving remarks. Register observed damage or shortage by item and unit. Preserve the original document and photographs with their capture context. If the quantity or shipment reference is uncertain, assign a verification task before completing the loss assessment.
Build mutually exclusive loss lines
Match affected items to the invoice and packing list. Record separate quantities for missing, damaged and accepted goods, together with valuation evidence and any salvage disposition. Require a reviewer to resolve an item counted in both shortage and damage. Preserve corrections and the reason for any changed value.
Confirm the case route and deadline source
Identify the counterparty and the actual carrier, insurer or service procedure that applies to this shipment. Store its source reference, notification or filing deadline, timezone and internal approval target. One incident can have several party cases, but each must reference the shared loss assessment. Escalate uncertain deadlines to the responsible coordinator.
Review and release a defined evidence packet
Check required documents against the applicable case procedure. The reviewer resolves missing or conflicting records, confirms the requested amount and approves a numbered packet edition. Retain the selected attachment list and the authorized sender. Record portal or email submission evidence and the counterparty case reference.
Track responses without losing earlier decisions
Record acknowledgements, information requests, survey reports, offers and disputes as separate events. Assign an owner and next action to each open request. A revised claim amount or additional document needs its own reviewed edition. Keep an unacknowledged submission open for reconciliation rather than treating a send attempt as acceptance.
Allocate recoveries and close the balance
Finance matches a remittance or credit confirmation to the case, currency and loss line. Keep offers separate from money received. Check combined recoveries and salvage against the approved assessment policy, with an authorized decision for adjustments. Close only when remaining balances, rejected amounts and further action are documented.
Assign authority across receiving, claims and finance
- Receiving contributor: record observed condition, quantities and delivery evidence for assigned locations; retain the initial observation when corrections are made.
- Claims coordinator: verify shipment identity, choose the applicable party case route and maintain sourced deadlines and next actions.
- Evidence reviewer: approve the selected documents, loss assessment and packet edition before an authorized release.
- Settlement approver: record authority for accepting an offer or changing the recovery target, with a reason and supporting record.
- Finance reconciler: confirm receipts or credits, currencies and allocations; distinguish a counterparty offer from a posted recovery.
- Carrier or external contributor: if collaboration is in scope, restrict access to their own case requests and permitted attachments.
- Administrator: manage business-unit access, delegation and retention; preserve a record of permission changes.
Scope the data, cutover and operating support
- Discovery: bring anonymized shipment records, receiving remarks, damaged-item examples, a complete claim packet and an unresolved recovery case.
- Data inputs: identify the WMS or TMS export, invoice and packing-list source, document repository and finance confirmation format used today.
- Interfaces: review each actual API, EDI, CSV or portal handoff. Agree direction, refresh frequency, duplicate identity, acknowledgement and failed-import ownership.
- Migration: reconcile open incidents, loss quantities, party case IDs, submitted packet editions, deadlines and receipts before importing history.
- Currencies: keep assessment, offer and receipt currencies visible. Finance defines conversion sources, dates and treatment when values must be compared.
- Hosting and access: agree document permissions, retention, backup and restore checks, export rights, notification coverage and training.
- Quote and support: estimate workflow development, each interface, migration and ongoing maintenance separately. Identify who owns carrier-procedure changes, intake failures and urgent case escalation.
- Specialist responsibilities: identify the people handling surveys, coverage questions, liability decisions and settlement authority alongside the software operation.
Specify the shipment, loss and recovery before the platform
Use these six records to test whether a provider can explain one incident across receiving, counterparties and finance. The amounts below are illustrative demonstration inputs.
| Record | Example inputs | Required output and control |
|---|---|---|
| Shipment and receiving event | SHP-310 · shipper entity · carrier · transport reference · location · 100 expected · receiving remarks | Preserve the source event and reconcile quantities. Access follows the business entity and receiving location. |
| Loss line and assessment edition | LOSS-M6: 6 missing · LOSS-D4: 4 damaged · USD 40/unit · damage evidence · USD 40 salvage | Affected units are disjoint. Store valuation inputs, salvage allocation and reviewer decisions; prevent the same unit from entering both loss groups. |
| Party case and procedure | Carrier case C-18 · insurer case I-22 · shared loss IDs · source procedure · deadline/timezone · coordinator | Both cases point to the same incident. Source deadlines individually and flag overlapping recovery claims for review. |
| Evidence packet edition | Packet P1 · invoice · packing list · transport document · receiving report · images · reviewer | Save the exact selected editions and approval. Later attachments are reviewed as a new packet without altering P1. |
| Response and settlement decision | Acknowledgement · requests · USD 250 carrier offer · approval authority · case correspondence | An offer remains separate from acceptance and receipt. Preserve revised amounts and pending information requests. |
| Recovery receipt and allocation | Receipt R250 · USD 250 received · loss allocation · USD 110 remaining · finance reference | Reconcile confirmed money or credit independently. Check cumulative allocations across parties and salvage under the agreed assessment policy. |
In this demo, 100 units were expected. Six are missing and four different units are damaged. At the illustrative USD 40 unit value, the gross affected-goods amount is USD 400: (6 + 4) × 40. An approved USD 40 salvage value belongs only to the damaged group, leaving a USD 360 assessment for the exercise. A carrier offer of USD 250 leaves received recovery at USD 0 until finance confirms the receipt. Once R250 is confirmed and allocated, USD 110 remains unresolved. If another receipt for USD 110 later arrives for the same loss, the combined allocation reaches USD 360; a repeated R250 or an additional allocation must trigger a review rather than silently increasing the recovered total. Agree valuation, coverage, costs and settlement treatment with the responsible parties for the real case.

What does Codeblix offer for freight claims management?
We offer custom software development and consultation connecting shipment exceptions, loss assessment, evidence review, party cases and finance reconciliation. Discovery starts with the records you already use, the people authorized to act and the twenty demo cases available on this page.
How is this different from freight audit software?
Freight audit checks the carrier invoice against rates and charge evidence. Freight claims management follows missing or damaged goods, supporting documents, counterparty decisions and recovery receipts. They can share shipment references, but their balances and approval decisions need distinct records.
How should shortages and damage be counted?
Record affected quantities by shipment item and condition, and identify any overlap before approving the assessment. An item cannot be both missing from delivery and physically inspected as damaged in the same quantity group. Preserve corrections, evidence and the approved valuation edition.
Can one shipment have a carrier case and an insurance case?
The operation may need separate party cases linked to the same incident. Store the shared loss-line references and distinguish each procedure, response and recovery allocation. The responsible claims and finance reviewers decide how the cases interact under the actual contracts and coverage.
Where do notification and filing deadlines come from?
Use the actual procedure and case information supplied by the responsible carrier, insurer or service provider. Store the source, applicable milestone, timezone and internal target with the case. Confirm uncertain dates with the case owner and define an escalation route.
Can the workflow connect to our warehouse, transport or finance system?
Provide the current specifications and permitted data access. We scope each import, export or API separately, including shipment identifiers, timing, attachment handling, acknowledgement and duplicate recovery. Portal handoffs can form part of the process when that is the available route.
How should already-open claims be migrated?
Reconcile incidents, loss quantities, party case references, current deadlines, submitted packet editions and recovery receipts before cutover. Start with a small reviewed batch that includes an open request and a partly recovered case, then confirm the balances with the responsible teams.
What affects the development price and support scope?
Scope depends on claim volume, shipment sources, document formats, business entities, approval rules, interfaces and historical cases. Agree acceptance milestones, hosting, training and support hours in the quote. Include responsibility for failed imports, deadline notifications and procedure changes.
