Welcome to the Codeblix POS owner's guide. In a few minutes, you'll go from an empty system, to your first sale, to your daily reports. This is your new POS. Right now, it's completely empty. So let's set it up together, step by step. Here's the journey. First, set up your shop. Then, add your products. Next, buy your stock. After that, start selling. And finally, check your reports. Step one: tell the POS about your shop. Open Settings, then Company profile. Type your shop name, address and phone number, and upload your logo. Below, write your receipt header and footer. They're printed on every receipt, like you see here. Then press Save. Step two: VAT. Open Settings, then Tax. If your business is not VAT registered, choose Non-registered. Your prices will carry no VAT. If you are registered, choose Registered and type your VAT number. The standard rate is fifteen percent. Some items are zero-rated or exempt. Both charge no VAT, but they're reported differently. If you're not sure, ask your accountant. Step three: get organised. Under Product options, open Categories, and add groups like Soft Drinks, Water and Snacks. They make products easy to find at the till. Then, under Purchasing and Expenses, open Suppliers, and add the companies you buy from. Step four: add your first product. Click Products, then New product. On the General tab, type the product name. Scan its barcode, or press Generate if it has none. Then choose the category and the unit. On the Pricing and Tax tab, enter the selling price and the cost price. The POS shows your profit and margin straight away. Pick the tax rule, and tick this box if your price already includes VAT. On the Inventory tab, keep Track stock on, and set Reorder at. When stock drops this low, the POS warns you. Press Create product, and it's saved. But look: the new product shows zero in stock. That's normal. A product only describes the item. Stock arrives when you buy it. So let's buy some. Step five: record a purchase. Open Purchasing and Expenses, then Purchases, and click New purchase. Choose the supplier, and type the invoice number from their bill. Now scan each item, or search for it. Enter how many you received, and the unit cost. The totals add up by themselves. Press Save as draft. When the goods are in your shop, press Receive, then Receive goods. And now, your stock goes up: twenty-four cans, ready to sell. Tip: already have goods on your shelves? Open Inventory, then Stock adjustments. Choose the reason Opening stock entry, enter your quantities, and press Post adjustment. Step six: add your cashiers. Go to Settings, then Users, and click New user. Type their name and email, choose your store, and give them the Cashier role. Set a password, and save. Each cashier signs in with their own email and password, so every sale shows who made it. Step seven: open the till. Open Operations, then POS. Pick the till for this device, and press Continue. Count the cash in your drawer, type it as the opening cash, and press Open shift. Now, the fun part: your first sale. Scan a barcode, search by name, or simply tap a product. It drops straight into the cart. Scan the same item again, and the quantity goes up. Need a discount? Press Discount, choose percent or amount, and Apply. When the customer is ready, press Checkout. Choose Cash, type the cash given, and the POS works out the change. Press Complete sale, and print the receipt. Done! Three quick tips. If a barcode is unknown, a pop-up lets you link it to the right product, right there. Press Hold to park a sale, and serve the next customer. And for a refund, open the menu, choose Refund, pick a reason, and tick Restock these items. During the day, check the X-Report. It shows your sales so far, the payments by method, and how much cash should be in the drawer. And it doesn't close the shift. At the end of the day, close the shift. Count the cash in the drawer, and type it in. The POS shows any difference. If there is one, choose a reason. Press Close shift. Your Z-Report is saved, and you can print it any time. Now, let's check your stock. Click Stock In and Out. For every product, it follows one simple rule: what you had, plus what came in, minus what went out, equals what you have now. Here: twenty-four received, two sold, twenty-two left. And the check says: Adds up. Click History to see every entry behind the numbers: what happened, who did it, and when. When a product drops to its reorder level, it shows up in Low stock items, right on your dashboard. So you always know what to buy next. Finally, Reports. See your sales summary, your best-selling products and their profit, sales by cashier, and sales by payment method. Pick any date range, and export to Excel whenever you need. So, here's your daily routine. Open the shift. Sell. Check the X-Report. Close the shift. Then check your stock, and buy more when it runs low. That's it! You're ready to run your shop with Codeblix. Need help? We're always here for you.
