Identify the account, mechanic and dates

Record the contracting retailer and supplier entities, channel, eligible outlets, product IDs and packs. Define the activity: a unit allowance, fixed display fee or another agreed mechanic. Capture the shipment, performance and claim windows separately, along with the source agreement and the person who owns the account.

Review the forecast and reserve funding

The account manager submits a plan with volume assumptions, unit basis, expected spend and a proposed funding source. Finance checks the available envelope and the commercial approver authorizes the commitment. Keep draft, approved and cancelled reservations distinct. Changes that increase exposure return to the required approval level.

Issue the approved terms for execution

In this illustrative USD example, P-17 reserves USD 500 for a promotion under A1: USD 0.20 per eligible net invoiced unit plus a USD 100 display fee. The supplier invoices 1,800 units and records 100 eligible returned units, leaving 1,700 net units. The allowance is 1,700 × USD 0.20 = USD 340. Accepted display evidence supports USD 100, making the validated total USD 440. Retailer claim C-9 requests USD 460, so USD 20 remains unresolved. A confirmed USD 300 credit leaves USD 140 of the validated amount unsettled; it does not remove the USD 20 dispute. Display the USD 500 reservation, USD 440 validated spend, USD 300 confirmed settlement, USD 140 unsettled approved amount and USD 20 unresolved claim separately. The USD 60 gap between reservation and validated spend is released only under the agreed close policy. These numbers test workflow reconciliation; finance determines the actual posting and tax rules.

Is trade promotion management the same as a POS discount?

A POS discount changes the shopper's price at checkout. Trade promotion management tracks the supplier's commercial agreement and funding with a retailer, including execution and settlement. Relate the two where the agreement requires sales evidence, while keeping their record ownership clear.

Should allowances use shipped units or sell-out data?

Use the basis defined by the agreement. Shipments, net invoices and retailer sell-out are different measures and may arrive at different times. Document returns, pack conversion, cut-off dates and source reliability so the calculation can be reproduced.

How should an agreement amendment affect an active promotion?

Keep the accepted edition and create an amendment with its approval, effective date and affected products or outlets. Recalculate only the transactions covered by the revised rule. Preserve earlier approved results and show any additional funding commitment for authorization.

Can a retailer claim contain both valid and disputed amounts?

Yes. Review each line against the applicable terms and evidence. Keep the supported amount, missing evidence and disputed difference visible with their owners. Partial credits or payments reduce only the allocated approved balance and retain the unresolved part.

Can the workflow connect to our existing finance system?

Does promotion software automatically prove ROI?
