Episode ten. Procurement, part two: low stock, supplier requests, returns, and payments. Every ingredient has a low-stock alert. Here is Lime, in Menu and stock. A busy weekend is coming, so raise the alert from 40 to 150, and save the changes. Low stock now lists every item at or below its level, the most urgent first: limes, mixed seafood, and potatoes, with the deficit for each. To ask a supplier for more, click Email supplier beside the item. Request stock from supplier opens with the supplier, their email address, and a subject already filled in. The email preview is editable. It lists the requested quantity, current stock, the reorder level, and the delivery store, and asks for a quotation first. Nothing is sent until you click Send request. On this system the SMTP host and sender address are not saved yet, so the button stays disabled. Once Email and SMTP is set up in Settings, it sends. For now, click Cancel. To order everything in one go, open Purchase Suggestions. The Auto-Reorder Preview groups the low items by supplier, at the best price on record. Two suppliers have sold us limes. Island Fresh Produce is cheaper, at 16 rupees 50, so the limes go on their order. Quantity to order brings each item back up to its level. Click Generate Purchase Orders, and two draft orders are created, ready to check and send. Something arrived damaged? Open the received order, and click Create return. Enter the quantity going back, here 2 fish fillets, add the reason, and click Create return. The return is posted straight away. The stock is deducted, and the supplier balance goes down by 480 rupees. Money paid to suppliers is kept in Supplier Payments, recorded against their outstanding orders. Recording a payment needs the owner's permission. As each order is settled, it moves to partially paid, then paid. Next: stock control. Counts, waste, and stock activity.
