Episode nine. Procurement, part one: suppliers, purchase orders, and receiving. Open Purchasing, then Suppliers. Every company you buy from is listed here, with what you owe each one under Outstanding. Total payable, at the top, adds it all up. Click New supplier. Enter the name, the contact person, the phone, and the email address. Set the payment terms, here fourteen days, and click Create supplier. The supplier code is filled in for you. Ocean Catch is now on the list, with nothing outstanding yet. Next, open Purchases, and click New purchase. Choose the supplier and the receiving store. The due date follows the supplier's payment terms. Add each product, with its quantity and unit cost: 24 fish fillets at 240 rupees, 10 kilos of mixed seafood at 520, and 10 kilos of paella rice at 160. The totals update as you type. Click Save as draft. The new order is saved as a draft, and every order shows its status. Draft while you prepare it. Partially received when only part of the delivery has arrived. Received when everything is in. Partially paid and paid follow as the supplier is settled, and an order you no longer need can be cancelled. There is no approval step, and Codeblix does not email the order. Send it to the supplier the way you normally do. When the delivery arrives, open the order. Each line shows what was ordered, what has been received, and what remains. First, attach the supplier's invoice. Take a photo with the tablet camera, or upload the original file. Receive now starts at the full quantity. Only 8 kilos of rice came, so change it to 8. You can never receive more than you ordered. Choose the invoice for this delivery, then tick the box to confirm you checked the invoice and the goods against the quantities. Only then does Receive unlock. Confirm with Receive goods. The order is now partially received, with 2 kilos of rice still to come. Receiving updates stock straight away. Stock Activity shows three new purchase movements, each with the quantity, the new stock on hand, and the unit cost paid. Paella rice went up by 8, to 42 kilos. And in Suppliers, Ocean Catch now has 12,240 rupees outstanding, for the goods actually received. The total payable has gone up too. Next: low stock, supplier requests, and purchase suggestions.
