Meet Max. Not a chatbot. Not a gadget you have to babysit. A member of your staff, who knows your whole business, does the work, and never clocks out. Think about what one more office employee really costs you. Rs 20,000 a month or more. 8 hours a day, 5 days a week, leave and sick days, and 1 job at a time. Now meet Max. Max works for everyone in your company at the same time, day and night, in every role: estimating, buying, accounts, reports and advice. So stop thinking of it as software you ask questions. Think of it as staff you give work to. Hiring Max takes 1 minute. In Settings, under AI assistant, give your new team member a name, a photo, a job title and a voice. Then decide what Max may do: guide people, answer from your data, prepare work, and check the accounts. And Max always follows each person's own role. At Summit Builders, 11 people work with Max every day. The owner, an estimator, a quantity surveyor, a project manager, a site engineer, procurement, the storekeeper, an accountant, an accounts clerk, the office manager, and HR and payroll. Let's follow one ordinary working day, and watch what Max does for each of them. Part 2. A day at Summit Builders. 7:00. Leena, the accountant, is in early to close October. Check October. Find anything unusual: errors, duplicates, anything we're losing money on. I checked 412 transactions. 6 need you. A BrightSpark bill was entered twice. SteelPro billed more than they delivered. BuildMart cement cost 11% more than our other supplier. A payment of Rs 18,000 has no bill. Withholding tax is missing on 1 subcontractor. And 2 bank lines are not matched. That's over Rs 160,000 found before breakfast. Max reads every line, every month, like an auditor who never gets tired. 7:30. Anita, the owner, opens the app with a coffee. Good morning Max. What do I need to know today? Good morning Anita. Cash in the bank is Rs 4.2 million. 6 documents are waiting for you. The client is 12 days late on certificate 2. And ready-mix on Palm Grove is running over budget. I've put your priorities in order. Like a good office manager, Max reads everything before the day starts, so the owner knows exactly where the business stands. 8:10. Yusuf, the estimator, has a tender due on Friday: 24 apartments, sent as a 38-page PDF. Max, price this tender BOQ with our schedule of rates, and add 10% for overheads and profit. I read all 38 pages: 212 items in 14 sections. 196 match your own rates. For the other 16, I found prices in the national schedule of rates. The tender total is Rs 31.4 million. 2 or 3 days of pricing, ready for review before 9 am. With the priced BOQ in Excel and the tender letter already written. Kevin, the quantity surveyor, keeps the rates right. Find our rate for hardcore filling. And Coastal put up their price: make ready-mix grade 30 Rs 4,450. Hardcore filling, 150 mm, is Rs 1,150 per m³. I've prepared the new ready-mix price. It updates 7 priced BOQ lines in 2 projects. Shall I save and approve it? Yes, go ahead. Max does the change, but only after Kevin says yes. Exactly like good staff, who check with you before they sign. Then the client asks for changes to Bill No. 2. In Bill 2, make concrete 2.2.A 70 m³, add 50 m of precast kerbs, and remove the roof waterproofing item. As a new revision. Revision 2 is ready: 1 quantity changed, 1 item added, 1 item removed. The bill goes down by Rs 106,452. Confirm and I'll save it. Add, update, delete, configure. Every BOQ change is done for you, and every revision is kept in its history. Ravi, the project manager, just won a new job. Create a new project: Coral Bay Offices for Coral Bay Holdings, in Port Louis. Rs 32 million, starting 1 December, for 18 months. 3 levels and our usual work sections. Here it is, ready to create: code CBO, 3 levels and 9 work sections. Confirm, and the project is live for the team. 2 minutes, and the new project is set up, with its levels and work sections, ready for the BOQ. On site, Jean doesn't type. Jean just talks. Max, we pour the first floor slab on Thursday. We need 120 bags of cement and 4 tonnes of steel. The first floor still has 140 bags of cement and 4.2 tonnes of steel in the BOQ. I've prepared the requisition for Thursday. Tap confirm and it goes to Ravi. No forms on a dusty phone. And never more than the BOQ allows. Priya, in procurement, turns requests into orders. Who is cheapest for cement this quarter? Then order Jean's request, and tell me which orders are late. Island Hardware is cheapest at Rs 285 a bag, 11 below BuildMart. Both orders are prepared. 2 orders are late: SteelPro by 9 days and Coastal Ready-Mix by 3. I've drafted a reminder to SteelPro. Max compares prices, prepares the orders and writes the chasing email. Priya just checks and confirms. A truck arrives. Sam, the storekeeper, takes a photo of the delivery note. Max, record this delivery. 10 blocks are broken. That's Island Hardware, delivery note D-7781, for order PO-26-0018: 200 blocks. I've prepared the goods received note: 190 accepted, 10 rejected. Sam sees quantities only. No prices and no money, because Max respects every role. After lunch, Leena, the accountant, has this week's supplier bills. Here are this week's supplier invoices. Record them for me. 6 invoices read. 5 match their orders and deliveries and are ready to post. SteelPro bills 50 kg more than we received, so I've held that one. Here is the posting for the 5. Three-way matched, VAT split out, posted to the right project and the right account. The work of a full-time bookkeeper, in seconds. Diya, the accounts clerk, bills the client. Create the client invoice for Palm Grove certificate 3, with 5% retention and VAT. I need the PDF. Certificate 3 is Rs 2.4 million. Less 5% retention, plus 15% VAT: net due is Rs 2,622,000. The invoice and its PDF are ready to issue. Open the PDF: a proper tax invoice, on your letterhead, ready to send. The right retention, the right VAT, the right total. Every single time. Zara, the office manager, needs a letter. Palm Grove Developments still hasn't paid certificate 2. Write a polite but firm reminder on our letterhead. Here's the letter. Certificate 2, Rs 1.85 million, is now 12 days overdue. I added our bank details and asked for payment by the 15th. It's ready in Word. Open it, and the letter is already in Word, on your letterhead, ready to sign. Letters, emails, meeting minutes, contract summaries. Max writes them in seconds, in your company's voice. At 3 pm, Leena prepares for tomorrow's board meeting. Prepare October's profit and loss, the balance sheet at the 31st, and the cash flow. As a presentation for the board. October revenue was Rs 4.86 million and costs Rs 4.12 million: a net profit of Rs 740,000, 15%. The balance sheet balances at Rs 28.3 million. I made an 8-slide presentation, with the Excel workings. Any report, for any period: as a table, a chart, a PDF, a spreadsheet, or a full presentation, ready for the boardroom. Friday is payment day. Prepare this week's supplier payments from the main bank. Keep at least Rs 1 million in the account. 7 suppliers are due: Rs 812,400, with withholding tax already deducted for BrightSpark. The bank keeps Rs 3.4 million after payment. The payment run and the bank file are ready for your approval. Max prepares the whole payment run. Leena approves it, and the money only moves when a person says so. Nadia looks after the people. Who's on leave next week, whose work permits expire soon, and is November payroll ready? 3 people are on leave next week, 2 of them masons on Palm Grove, so I've told Ravi. 2 work permits expire within 30 days. November payroll is ready for your review: 42 employees, net pay Rs 1.18 million. Leave, permits, payroll: Max keeps HR ahead of every date. End of the day. Anita asks the questions only an owner asks. Be honest, Max. Where are we losing money, and what went wrong on Palm Grove? Palm Grove is still profitable, but its margin fell from 18% to 14%. 3 reasons. Ready-mix waste is 6%, against 3% in the estimate. Steel went up 8% after we priced. And the hired excavator stood idle for 9 days. Together, Rs 445,000. Max finds the leaks, explains why they happened, and shows the evidence behind every number. So how do we make more profit next quarter? 5 ideas. Lock a fixed cement price with Island Hardware. Return the idle excavator. Reprice 9 rates that are below today's cost. Bid more jobs like Seaview, your best margin. And collect the Rs 2.85 million clients owe you. Together, about Rs 1.1 million in profit, and much better cash. Not just numbers. Real advice from your own data, like having a finance director on the team. And when everyone goes home, Max keeps working. Overnight, I matched 41 bank lines, checked tomorrow's 4 deliveries, and noticed SteelPro's new price list is 8% higher. It's in everyone's morning briefing. Your team goes home. Max doesn't. Max works like your best staff, and follows the same rules. Each person only sees what their role allows. Max never sees another company's data. Nothing is saved until a person confirms it, and every request is logged. 1 day. 11 people. 18 jobs done. A tender priced, rates and a BOQ updated, a project created, materials ordered and received, purchases posted, suppliers paid, the client invoiced, the board pack built, problems found, and real advice to grow the profit. That's not a chatbot. That's your best staff member. Instead of paying another salary, give your whole team someone who knows everything about your business. Codeblix, with Max on your team.
