QuickBooks Desktop returns and credit notes
Create a QuickBooks Desktop credit memo for returned goods, record the original invoice reference, and handle quantity corrections, discounts and exchanges with Codeblix EBS.
Record the return as its own credit note
For returned goods, use Customers, then Create Credit Memos/Refunds. Choose the customer and returned item, enter a positive returned quantity at its normal price, and write the original invoice number and reason in Memo for the Codeblix workflow. Save the credit memo as its own document; do not deduct the same return again on a new invoice. While preparing a new invoice, correct a quantity directly: enter nine when nine were sold, rather than ten and a minus-one line. Use the configured Discount item for a genuine price cut. For an exchange, record the returned goods with a credit note and the replacement with a normal invoice. Preserve documents already fiscalised, and check the date, customer, quantities and prices before saving because saved documents can sync automatically.
Recorded with the QuickBooks sample company. No sample document was sent to MRA. Live fiscalisation requires the connected company setup, correct references and an accepted MRA response. This tutorial covers sales returns, not VAT-return filing or QuickBooks Online.

When goods come back or a quantity is wrong, enter it the right way in QuickBooks, or MRA will reject the invoice. Here is the common mistake. A customer returns one item, so a minus one line is added to a new invoice. Don't do this. MRA does not accept negative quantity lines on a sales invoice. The invoice is rejected, it gets no I R N or QR code, and it stays unfiscalised until it is fixed. For returned goods, go to Customers, then Create Credit Memos slash Refunds. Choose the customer and the returned item. Enter the quantity as a positive number, here one at the normal price. In the Memo, write the original invoice number and the reason. MRA needs this reference to accept the credit note. Save it. The credit note is sent to MRA as its own document, and the return is not deducted again on another invoice. If you are still preparing a new invoice and the quantity is wrong, just type the real quantity, nine, instead of ten and minus one. For a genuine price cut, use your Discount item. For an exchange, a credit note for the goods returned, and a normal invoice for the replacement. And never edit or delete an invoice that is already fiscalised. Check the date, customer, quantities and prices before you save. Saved invoices can sync automatically.
