Export documentation and bank handoffs

Letter of credit management software for export documents

Letter of credit management software helps exporters organize credit terms, amendments, required documents, presentation deadlines and bank responses in one traceable case. A document controller needs to know which accepted terms govern a packet, which document edition is ready and who must resolve an exception before dispatch. Codeblix develops custom software for your export documentation workflow, review permissions and bank handoffs.

Outcome first

Make the presentation packet reproducible.

An amendment email, a revised invoice and a courier receipt describe different stages of the work. Connect them without losing the terms or documents used for a particular presentation.

01

Know which terms govern the case

Separate received amendment requests from the terms your authorized team has confirmed for use. Highlight changes to amounts, dates or document requirements and retain the acceptance evidence behind the current version.

02

Review the actual document edition

Give each required document an owner, edition and review outcome. A corrected invoice must be checked against its companion documents; replacing a file should never silently change a packet already dispatched.

03

Follow the handoff to a recorded response

Track internal release, dispatch, receipt and bank correspondence as separate milestones. Assign discrepancy follow-up and reconcile the commercial record with the bank response and finance entry.

Document preparation and dispatch

The people behind a presentation packet

Review the case, compare the document editions and record the dispatch handoff as distinct activities.

01

Keep export operations and documentary review connected

Order fulfilment, customs work and LC document review have different owners. Link the shipment and commercial invoice to the credit case, then let the documentary reviewer control the presentation requirements and packet release. One broader import/export system may provide the shipment records without covering this versioned review job.

Explore the wider import and export workflow
02

Assign document preparation and release separately

Document preparers upload and revise their own working items; reviewers record checklist findings; an authorized trade-finance role confirms operative term changes; dispatch staff capture handover evidence; finance reconciles bank responses and receipts. Limit external access by organization and case. Retain actor, timestamp and reason for term or packet changes.

03

Use the bank's instructions as the starting record

The U.S. International Trade Administration explains that LC payment depends on the documents meeting the credit's requirements. Build the case checklist from the actual credit and the bank's instructions, then have the responsible specialist confirm interpretation and dates. Keep document review evidence alongside the resulting presentation.

04

Map the Mauritius paperwork handoffs

MCB publishes separate forms for documentary credit applications, LC amendments, dispatch and discrepancy instructions. Those handoffs give a Mauritius team practical cases to demonstrate: an amendment request, a released document packet and a response needing an authorized decision. Agree the documents and delivery channels with the bank for your own operation.

Take one LC case from received terms to closure

Use an ordinary shipment and an amendment arriving during document preparation. The demonstration should explain what changes, who authorizes it and which earlier packet remains intact.

01

Register the credit and shipment context

The export coordinator links the received credit reference to the customer, beneficiary, bank contacts, currency, order and shipment. Capture the stated dates and documentary instructions with their source. A reviewer checks the entered values against the received document before the case becomes operational.

02

Review amendments as separate versions

Record the amendment reference, received time, changed fields and outstanding questions. The designated trade-finance reviewer records the governing acceptance evidence and effective terms. Keep requests and pending decisions visible; identify document tasks affected by a confirmed change.

03

Prepare and cross-check document editions

Create the case-specific requirement list and allocate invoices, transport documents, packing lists or certificates to their owners. Record the required issuer, copies and dates from the governing instructions. Review quantities, names and references across the exact editions selected for presentation.

04

Release a fixed presentation packet

The authorized reviewer checks missing items, unresolved differences and approaching deadlines. On release, retain a snapshot of the terms, checklist results and document editions. Subsequent corrections become a new packet revision with a reason and approval, rather than overwriting the released set.

05

Record dispatch and receipt evidence

The dispatch owner captures the agreed channel, destination, packet reference and courier or portal evidence. Record the receiving acknowledgement when available. Dispatch time, bank receipt and internal readiness have distinct statuses and sources, with overdue follow-up assigned to a person.

06

Resolve responses and reconcile the case

Attach bank messages and discrepancy references to the presentation they concern. Allocate corrections or customer enquiries, retain the authorized decision and reconcile the recorded drawing or payment with finance. Close the case only after outstanding documents, responses and balances have been reviewed.

Implementation requirements 01

Bring these examples to the consultation

  • An anonymized credit, one received amendment and the evidence used to confirm its operative terms
  • A document checklist, two invoice editions and a presentation with an unresolved discrepancy
  • A dispatch record, receiving acknowledgement and bank response linked to a shipment
  • Monthly case volumes, currencies, reviewer roles, outside-party access and time-sensitive support needs
Implementation requirements 02

Agree migration, interfaces and operating support

  • Reconcile open credits, amendment status, dispatched packets and outstanding responses before cutover; retain access to historical document sets
  • Specify ERP exports, document storage or bank channels individually, including access permission, identifiers, acknowledgement and rejection handling
  • Define document retention, restricted folders, backups, restoration checks and the owner of each operational date or checklist rule
  • Accept role separation, packet immutability, duplicate-message handling and an agreed manual handoff when an interface is unavailable
Your operating specification

Identify the version used by each packet and keep credit amount, presented amount and recorded bank settlement distinct.

Illustrative amendment test: case LC-042 begins with an operative amount of USD 100,000 and recorded drawings of USD 70,000. Its documentary tracker shows USD 30,000 remaining. Amendment A1 requests USD 120,000 and a new certificate; while acceptance is pending, the operative amount stays USD 100,000 and the earlier requirement remains identifiable. After the authorized reviewer records the governing acceptance evidence, version 2 has USD 50,000 remaining and the new certificate requirement. A released USD 10,000 packet is recorded separately as an outstanding presentation: it is not automatically another drawing. An internal planning view may reserve it and show USD 40,000 unallocated, with the reservation clearly labelled. A cancelled USD 15,000 draft changes neither the drawings nor the operative amount. Packet P1 retains its version-1 documents; packet P2 uses version 2 and its reviewed certificate. Ask the demo to reproduce both snapshots and show the bank response before updating the drawing or settlement record.

Frequently asked questions

Questions before choosing LC management software

Clarify amendment authority, document control and bank-channel requirements before comparing implementations.

What can Codeblix develop for our LC document team?

Discuss a custom application for case records, amendment review, document editions, presentation release, dispatch evidence and response follow-up. An anonymized ordinary case and a difficult amendment help define the permissions, screens, interfaces and acceptance criteria for a development quote.

Is this the same as a bank's trade finance platform?

An exporter's document workflow organizes the corporate preparation and handoff. Bank issuance, credit decisions and payment processing belong to the relevant banking systems and authorized institutions. Define how your team exchanges documents and responses with those systems when choosing the application scope.

How should an amendment affect existing documents?

Record its governing status and compare changed fields with the previous terms. Identify the documents requiring another review, preserve the earlier editions and attach the accepted terms version to the next packet. Keep already dispatched snapshots intact so a later change cannot rewrite their history.

Can OCR automatically approve our documents?

Text extraction can assist data entry or surface differences when included in the scope. Agree accuracy checks for your document types, a visible confidence or review state and a human decision for unclear fields. Demonstrate poor scans, changed names and conflicting quantities before relying on extraction in a release workflow.

What should a discrepancy workflow record?

Link the bank message to the exact presentation, identify the disputed requirement, assign a response owner and retain the supporting correction or authorized instruction. Show outstanding action dates and the final response separately from internal review findings and finance settlement.

Can the software connect to our ERP or bank portal?

Review each system's supported export, API or submission method and the permission to use it. Specify identifiers, acknowledgements, repeated messages and failure handling. Include only confirmed interfaces in the delivery scope and agree a controlled file or manual handoff for other channels.

How do we migrate open credits and past presentations?

Import the open case list with its governing terms, amendment evidence, outstanding documents and recorded responses. Reconcile amounts and status with the existing records. Preserve past packet contents as historical sets, then agree responsibility for messages and corrections arriving across the cutover.

What determines development cost and support?

Case volume, document types, currencies, permission groups, review stages, storage needs and confirmed interfaces influence the estimate. Agree support hours around presentation deadlines, backup and restore needs, and ownership of bank instructions and document templates. Request staged delivery with the acceptance checklist attached to each milestone.
