Episode fourteen. Accounting, part one. This is the Chart of Accounts, under Accounting. Every ledger account, grouped, with its balance in rupees. Built-in accounts carry a System badge. Mapped means an automatic posting uses that account. Assets start with one, liabilities with two, equity with three, income with four, cost of goods sold with five, and expenses with six and seven. Food and beverage are kept apart: Food Cost of Sales and Beverage Cost of Sales, then Food Sales and Beverage Sales. The Journal is the day book. Sales, deliveries and expenses post here automatically, each with its source. Open a card sale. It debits Card Settlement Clearing, and credits Sales Revenue. A cash sale debits Cash on Hand instead. A supplier delivery debits Inventory, and credits Accounts Payable, until the supplier is paid. Running costs go in Expenses. Nine are recorded this month, 265,540 rupees in total. Click New expense. Choose the category, Cooking Gas, and enter the amount before VAT: 2,300 rupees. Mark it Taxable, with 300 rupees of VAT. Choose how it was paid, and add the bill number. Record the expense, and it posts straight to the journal. Expense Categories hold the buckets: rent, utilities, cooking gas, cleaning and laundry, licences and permits, and more. Back in the Journal, the new expense is at the top. Open it. Cooking Gas is debited with 2,300 rupees, and Tax Input, account 1060, with the 300 rupees of VAT you can recover. Cash is credited with 2,600. Output VAT on taxed sales goes to Tax Output, account 2100. The demo sales in this database carry no VAT, so 2100 is still at zero. Output VAT, less input VAT, is what you owe for the period. Under Accounting Setup, Business mappings choose which account each automatic posting uses. Each flow, from sales to stock adjustments and restaurant waste, can post automatically, or wait for review. Pending entries stay out of the reports until they are posted. Fiscal periods list the months of your financial year, from April 2026 to March 2027. Each month can be locked once it is closed. Opening balances bring in your starting figures. Once real transactions are posted, they lock, and corrections go through a manual journal entry. Next: the journal, the statements, and your accountant.
