Define the engagement and its requirements
Select the supplier legal entity, hiring entity, project, work category and planned start and finish. The authorized risk or contract owner attaches the applicable requirement edition, including coverage types, currencies and required supporting documents. Resolve conflicting contract versions before opening the request.
Request evidence from the permitted contact
Address the request to the supplier or its authorized broker and record the due date. Restrict any upload link to the correct engagement and allowed documents. Track delivery failure, a changed broker and an unanswered request as separate tasks; a message sent is not a document received.
Capture the document edition and its source
Retain the uploaded file, sender, receipt time and original filename. Capture the named insured, insurer, policy references, coverage period, currencies and stated limits. Link endorsements or other supporting pages separately. Flag unreadable dates, an entity mismatch or uncertain extracted values for a person to check.
Review each requirement with a recorded outcome
Compare the evidence with the engagement's selected requirement edition. Record satisfied, missing, clarification-needed or exception-requested for each item, with the document reference and reviewer. Release a decision for the engagement
The permitted approver records the operating decision, its valid period and any conditions. An exception names the requirement, reason, approved scope and expiry. Give the project team access to that decision and its next action while limiting document access by role. A decision for one contract does not authorize another.
Recheck renewals, changes and closure
Schedule requests using agreed lead times and local dates. Track delivery outcomes and escalation ownership. A replacement certificate, contract change, cancellation notice or expired exception creates an affected-engagement review task. Close inactive engagements under the retention policy and preserve enough history to reproduce earlier decisions.

In this demonstration, C1 states an expiry of 31 October 2026 and a USD 1 million limit. Property A's R-A1 calls for that illustrative amount for work ending 20 October; the reviewer records the other required checks before approving A-10. Property B's R-B1 calls for USD 2 million and work continuing to 15 November. The same C1 leaves B-20 with two open findings: the stated amount and the work period. A 30-calendar-day renewal lead time makes the internal request date 1 October. C2 arrives on 25 October with a future period starting 1 November and a stated USD 2 million limit. Preserve both editions and review C2 against B-20, including the relevant supporting documents; do not overwrite C1 or treat receipt as approval. If a contract revision changes Property A's requirement, recheck A-10 against the new edition. The software should explain each decision from its engagement, requirement and document sources.
