Staff suggestions, moderation and accountable replies

Employee suggestion software

Employee suggestion software gives staff a clear way to submit operational improvements, see who owns the response and follow what happens next. Codeblix develops custom suggestion applications around your programme’s intake, moderation, reply and reporting rules. Try the working example to separate a shared issue from its individual receipts, review an excerpt and release an owner’s answer.

Outcome first

Give contributors a receipt and operators a next action.

A programme owner needs to know what has arrived, which issue it concerns and whether the contributor has received an answer. Those questions require related records rather than one overloaded status.

01

Preserve the contributor’s route back

Two staff members may describe the same operational problem. Link their submissions to one improvement task while retaining each receipt and its reply state. Otherwise a duplicate label can remove someone from the response queue before they hear what will happen.

02

Review what becomes visible

The original wording may include an individual reference that adds nothing to the improvement request. Let an authorised moderator prepare a concise shared excerpt and inspect its exact preview. Define the audience for the original, the excerpt and the eventual answer separately.

03

Distinguish an answer from a completed improvement

A response can explain a planned trial, a decision to defer or the reason a request was declined. Record the answer and its next review date without marking the underlying change implemented. Programme reporting should show both response coverage and delivery progress.

Follow the suggestion through three screens

A useful suggestion box needs a visible response path.

The SG-06 example follows six submissions concerning five operational issues. Compare the inbox, review the wording shared with colleagues and inspect the answer released to receipt R104.

01

Start with the six-submission inbox

Open SG-06 and compare six receipt IDs with five distinct issues. S102 and S105 concern the same locker-label task, yet S105 still has an open reply. Initially only S101 is answered: one of six submissions, or 16.7%. Filter the inbox to inspect the answered and waiting groups.

Open the staff suggestion workflow demo
02

Moderate S104 before asking for an answer

As Moderator, open the moderation desk. Compare the original handover-board wording with the shorter shared excerpt. Confirm the exact excerpt and assign the Operations owner. Selecting the separate restricted route holds the operational release path. Changing the excerpt clears its review and assignment.

03

Release a reply without claiming the change is finished

On Response & receipts, select Process owner, confirm ownership of the answer and then return to Moderator to release it. R104 gains an answer and coverage becomes two of six, or 33.3%. The improvement remains a planned trial. Repeating release preserves the count; editing the answer requires renewed confirmation.

04

Compare ongoing suggestions with campaign evaluation

An everyday staff suggestion programme focuses on intake, moderation, response ownership and closing the loop with contributors. A campaign may instead need scored evaluations, a judging quorum and a pilot budget. Use the requirements of the actual programme to select the appropriate workflow.

From an incoming staff suggestion to a traceable answer

Agree the operational decisions at each stage before choosing a platform or commissioning development.

01

Define the programme and submission route

Choose the improvement topics, locations, languages and access paths the programme will support. Explain how a contributor returns to their receipt. Decide what information is collected, how identity is handled and which matters use a separate established procedure.

02

Retain the receipt and identify the issue

Assign a stable submission ID and preserve the received wording. Connect related suggestions to an issue without deleting their individual receipt records. Keep received date, response target and responsible queue available for operational follow-up.

03

Moderate the wording and audience

Review the source against the programme’s handling rules. Prepare the excerpt visible to colleagues, check its audience and record the moderator’s decision. Changing that wording should trigger another review before it is reused in an assignment or shared answer.

04

Assign response ownership

Give the operational issue a responsible owner and a realistic answer date. The owner may need clarification or another department’s input. Keep reassignment, waiting reasons and overdue responses distinguishable so the programme coordinator can intervene.

05

Confirm and release the answer

Have the process owner explain the decision, next step and review date. Apply the agreed release review before the answer appears on the contributor’s receipt. Define how amended answers are confirmed again and how repeated release requests avoid double counting.

06

Follow delivery and reconcile coverage

Track trials and implemented changes against their own acceptance evidence. Reconcile answered receipts with submissions for a defined period, showing duplicate links and unresolved replies. A programme can answer a suggestion promptly while its improvement work remains open.

Specify the staff suggestion application 01

Select a suggestion platform or commission a tailored workflow

  • An established suggestion platform can suit standard intake, anonymous follow-up, voting or feedback processes. Ask for a demonstration of the plan you would purchase, including contributor access, administration, export and continuing costs.
  • Custom development is useful when the programme needs a particular issue model, moderation sequence, response ownership or reporting boundary. Scope a small programme with representative submissions before extending it across locations.
  • Compare all suppliers with the same changed-excerpt, duplicate-receipt and amended-answer exercises. Include a deferred or declined suggestion so a successful demonstration does not depend on every idea being accepted.
Specify the staff suggestion application 02

Specify identity handling and access in concrete terms

  • Choose named, confidential or anonymous participation deliberately. Document application logs, host logs, identifiers, attachments, exports, backups and who can access each surface before making an anonymity promise.
  • Separate contributor receipts, shared excerpts and restricted source material. Define moderator, process owner, programme administrator and export rights; enforce commissioned permissions on the server and test unauthorised access directly.
  • The example changes roles locally to exercise the workflow. Discovery should cover authenticated access, receipt recovery, misuse controls and the organisation’s separate handling route for matters outside the operational suggestion programme.
Specify the staff suggestion application 03

Agree the connections and migration rules

  • List the directory, staff portal, communication channels and improvement-task system involved. Verify each provider’s supported interface, authentication owner, data direction and retry behaviour before including the connection in the estimate.
  • A sent notification and a viewed reply are different events. Decide which one the programme reports and how contributors return when they cannot access a company email account. Keep failed delivery visible to the responsible operator.
  • Map historic submission IDs, duplicate relationships, source restrictions, unanswered receipts and owner assignments before import. Reconcile counts and retain an archive where historical permissions or reply routes cannot be mapped reliably.
Specify the staff suggestion application 04

Plan hosting, acceptance and ongoing programme support

  • Agree hosting ownership, retention periods, accessible devices, supported browsers and backup restoration. Use synthetic examples for acceptance, including interrupted saves, repeated requests, operator changes and recovery after a failed release.
  • Price the first workflow, identity and permission controls, migration, interfaces, reporting and rollout as identifiable work. Subscription charges, communications costs and continuing support should have clear owners in the quote.
  • Assign programme operations separately from application maintenance. Moderation rules, unanswered submissions and improvement decisions need business owners; software support covers defects, recovery, provider changes and the agreed release process.

Six records that keep staff suggestions answerable

Use the SG-06 model to check what happens to a contributor after an issue is linked, its wording changes or an answer is revised.

SG-06 relates programme rules, submission receipts, shared excerpts, issue ownership, answers and delivery follow-up.
RecordExample inputsRequired output and control
Suggestion programmeOP-10; operational improvements; audience; handling routes; response targetsSet the intake purpose, eligible audience and separate procedures before collecting staff contributions.
Submission and reply receiptS104; received 19 Oct; original wording; receipt R104; reply statePreserve the individual return path even when another submission describes the same issue.
Moderated excerptS104; shared wording; permitted audience; moderator decisionReview the exact text and invalidate its assignment when the excerpt changes.
Operational issue and ownerI04; Operations owner; answer due 23 Oct; reassignment reasonGive the response task an owner while linking S102 and S105 to their common issue I02.
Confirmed answer and releaseR104; answer text; owner confirmation; release event; amendmentRelease the confirmed wording once and require renewed confirmation after an edit.
Improvement follow-up and coverageTrial 26 Oct; review 30 Oct; six receipts; answered count; five issuesReport answer coverage against submissions and keep implementation evidence on the improvement task.

SG-06 contains six submissions linked to five issues. One answered receipt gives 1 ÷ 6 = 16.7% response coverage. Releasing the reviewed answer to R104 makes that 2 ÷ 6 = 33.3%; repeating the release does not change it. Answering linked receipt S105 separately gives 3 ÷ 6 = 50.0%, while the distinct-issue count stays five. The R104 answer describes a planned trial, so these reply figures do not count implemented improvements.

Frequently asked questions

Questions when choosing employee suggestion software

Use these answers to frame the programme, its access model and the development estimate.

What is employee suggestion software used for?

It organises staff improvement submissions, their review, responsible owners and responses. A useful programme also distinguishes related issues, contributor receipts and implementation work. Choose the records and handling rules around the operational decisions your team needs to make.

Can Codeblix build a custom employee suggestion system?

Yes. Codeblix offers custom software development for staff suggestion intake and response workflows. Start with programme scope, user roles, identity handling, the first submission-to-answer path and the acceptance cases that determine whether it works for your organisation.

How does a suggestion box differ from innovation campaign software?

An ongoing suggestion box centres on accessible intake, moderation, ownership and contributor follow-up. Campaign evaluation can add judging, weighted criteria and investment decisions. Those requirements may connect, but they should not force every everyday suggestion through a formal innovation competition.

Will submissions be anonymous?

Define the required identity model before choosing the platform or commissioning development. Verify what the application, hosting logs, administrators, exports and backups retain, and how a contributor recovers a reply. An anonymity claim needs technical and operating evidence for the actual deployment.

What should happen when two employees suggest the same change?

Relate the submissions to a shared issue and preserve both receipt records. Each contributor still needs an appropriate response. In SG-06, S105 links to S102 but remains unanswered until its own acknowledgement is recorded.

Does an answer count as an implemented improvement?

An answer may communicate a trial, a deferral or a reasoned decline. Implementation needs its own owner and acceptance evidence. The demo reports answered receipts over six submissions, independently of the five-issue count and the planned improvement work.

Can it connect to our staff portal or task system?

Include the exact providers, access model and available interface documentation in discovery. Agree data direction, authentication, source ownership, retry rules and notification semantics before pricing each connection. Verify receipt access for staff who do not use company email.

What affects the development quote and ongoing costs?

Identity handling, moderation variations, roles, migration, reporting, external interfaces and rollout locations affect delivery scope. Include hosting, recovery, retention, accessibility, training and support responsibilities. A small first programme with realistic exception cases produces a clearer estimate.
